A keynote can be well written, a venue can be impressive, and a guest list can be strong, yet the conference will still feel poorly managed if the screen is unreadable, the microphones fail, or a presenter cannot connect a laptop. For a conference, AV is not a last-minute equipment order. It is an operating plan for how every attendee will see, hear, and follow the program. The right specification depends on room geometry, program format, content standards, venue infrastructure, and the level of on-site technical support required.
Start With the Room and Program
Before selecting an LED wall, projector, sound system, or lighting package, confirm the conditions the system must serve. A 150-person classroom session, a 600-person general session, and a multi-track convention each require a different approach. Equipment that is sufficient for a breakout room may be visibly inadequate on a main stage.
Document the room dimensions, ceiling height, stage position, seating layout, sightlines, ambient light level, loading access, rigging points, available power, and control-room location. Request venue floor plans and technical regulations early. Many production constraints are discovered not during setup, but when a truck reaches a restricted loading dock or a display design exceeds a venue’s rigging limits.

Do not overlook supporting displays. Confidence monitors let speakers see slides, timers, and return video without turning toward the main screen. Timer displays help keep a packed agenda on track. Lobby screens, registration displays, and digital signage can improve wayfinding and reinforce conference branding outside the main room.
Standardize Content Before Rehearsal
Presentation issues are frequently content issues rather than equipment failures. Set a single slide format, aspect ratio, and delivery deadline. For most conferences, 16:9 is the appropriate standard, but confirm the native resolution of the display system before finalizing graphics.
Require presenters to submit slides and video files in advance. Test embedded fonts, animations, audio tracks, and playback codecs on the actual show computer. Run signal paths with redundancy where the program cannot tolerate interruption. Critical displays should have backup signal routes or spare input capability. Wireless presentation tools are convenient, but a wired HDMI or SDI path remains the more reliable primary connection for keynotes.
If the event includes streaming, remote speakers, live polling, or web-based demonstrations, test the dedicated internet connection under realistic conditions.
